A receipt scanning app turns a photo of a receipt into data. Reward apps use that data to pay you. Expense apps use it to build an expense record. Brands use it to see sales they cannot see at their own register. This guide compares apps in all three groups from their own pages and terms, checked in October 2026. It covers what each app does with a receipt, the rules that decide whether a receipt counts and how loyalty teams use the idea. Our guide to the best cash back apps covers payouts in more detail.

What is the best receipt scanning app?

The best app depends on the job. Pick the group first, then the app.

  • Get paid for any receipt: Fetch. Each eligible receipt earns at least 25 points.
  • Cash on grocery offers: Ibotta. A matched offer pays cash, and a linked store account skips the receipt.
  • Coins and prizes: Receipt Hog. Receipts earn coins, spins and sweepstakes entries.
  • Points for grocery receipts: Swagbucks. Magic Receipts turns them into SB points.
  • Work expenses: Expensify or Zoho. Both build an expense from a photo of the receipt.
  • A tax-time paper trail: Shoeboxed. It also scans receipts you mail in.

How does receipt scanning work?

Every app follows four steps. It captures an image, reads the text, checks the result and then credits or files it. Our receipt scanning glossary entry describes the same flow. Shoeboxed says its app uses OCR technology, converting printed text into searchable data. Fetch needs a store name, checkout date and total. Ibotta asks for more on in-store receipts: store name, logo and location, date and time, subtotal, total and a complete itemized list.

The check step decides who gets paid. Ibotta’s in-store offers need a paper receipt printed from the register. It rejects e-receipts, screenshots and receipts printed at home for those offers. Fetch accepts eReceipts too, but only from a supported retailer and a connected account, and in the primary inbox.

Which receipt apps pay you?

Fetch pays points. Members earn at least 25 points for any physical receipt from a grocery store, restaurant, gas station or mall. Receipts without item lines earn only the 25 base points. Offers add bonus points on named products. Fetch’s own blog lists a minimum payout of 3,000 points, which it puts at about $3.

Ibotta pays cash. Its offers match products on the receipt, and members must send the receipt within 7 days. A member who links a store loyalty account needs no receipt at all. Swagbucks and Receipt Hog pay in points and coins. Swagbucks allows up to 10 receipts per week for each category. Receipt Hog lets members upload paper or digital receipts for coins, spins and sweepstakes entries.

For illustration, a shopper buys groceries on Monday and photographs the receipt eight days later. Ibotta’s 7-day window has closed for that receipt. Fetch’s 14-day window is still open.

Which receipt apps are best for expenses?

Expense apps turn a receipt into a line on a report. Expensify takes receipts by mobile app, drag-and-drop, email or a text message. It offers a 30-day free trial and says more than 15 million members use it. Zoho Expense scans receipts in 38+ languages and gives each user a forwarding email address for emailed receipts. Zoho flags a receipt scanned twice by matching on date, amount and currency.

Zoho’s pricing page sets scan limits. Free and trial accounts get 20 receipt scans per user a month. Standard gets 200 and Premium gets 1,000. After the limit, users can still create expenses by hand or upload receipts for records. For illustration, the free plan allows up to 3 users, so a free team scans at most 60 receipts a month.

Shoeboxed adds paper. It scans receipts that arrive by app, email, a Gmail plugin or a postage-paid envelope. Shoeboxed says the IRS and the Canada Revenue Service accept its digital images in an audit. Check that claim with your own tax adviser before you throw paper away.

Do receipt scanning apps accept e-receipts?

Some do, with conditions. Fetch takes eReceipts only from a connected account, and they must land in the primary inbox. An order must be picked up or delivered first. Receipt Hog invites members to connect an email account for digital receipts. Ibotta’s in-store offers refuse them.

Expense apps treat email as a normal route. Expensify, Zoho Expense and Shoeboxed each give members an address or plugin that pulls a receipt from an inbox.

How do you take a receipt photo that counts?

Most rejected receipts fail on the photo. Ibotta requires a clearly readable receipt with no folds or wrinkles, and it asks members to resubmit a blurry image while the 7-day window is open. Swagbucks warns that most receipts are too long for one photo, so members add more photos until the whole receipt shows.

Brands set limits on images too. P&G brandSAVER caps uploads at three images per receipt. Keep the paper until the reward posts. Ibotta recommends saving paper receipts until cash back arrives, and Upside suggests the same.

How do receipt apps stop fake and duplicate receipts?

Rewards invite fraud, so reward apps set tight rules. Fetch accepts a receipt only once, rejects return receipts and handwritten receipts, and caps members at 35 receipts in any 8-day period. Its terms list fake receipts or accounts and altered receipts as unauthorized activity. Fetch can deduct points or end the account.

Expense apps focus on honest mistakes. A duplicate check by date, amount and currency catches a receipt scanned twice. P&G brandSAVER’s terms let the brand cancel points that were credited by mistake or obtained by fraud.

How do brands use receipt scanning in loyalty programs?

A brand that sells through other stores cannot see who bought. A receipt closes that gap. P&G’s program, P&G brandSAVER, also known as P&G Good Everyday, lists receipt uploads among the actions that earn points. Members redeem points for $5 digital rewards, among other redemption types. Its site invites shoppers to scan a receipt to support a cause after they buy products from named P&G brands.

Pampers shows the other route. Pampers Rewards asks members to scan the QR code inside each diaper or wipes pack. Ten diaper scans earn $10 in Pampers Cash. A code proves the product, and a receipt proves the product and the store. Fetch Clubs carry offers on brands such as General Mills and Huggies.

The data has a market. Fetch says it has SKU-level visibility into $212 billion in gross merchandise value annually. Receipt Hog’s footer credits Numerator, LLC. A brand that builds its own receipt program keeps that data and its shoppers’ attention. A brand that buys offers on a reward app rents both.

What should a loyalty team ask before adding receipt scanning?

The table lists the questions that matter most. Ask each one in a demo, and ask for a live receipt test.

For illustration, a brand pays 10 points per $1, caps each receipt at $300 and allows three receipts a week. The most it can owe one member in a week is 9,000 points. Caps and windows turn fraud and error into a cost the team can plan for.
